What a Written Booth Condition Report Tells You

"Serviced booth. Replaced filters. $850."

That is a real service invoice, and it is worthless. It tells you money left the building. It tells you nothing about whether the booth is healthy, what is about to fail, what you should be budgeting for next quarter, or whether the last visit made any difference.

Now consider the alternative: a document showing that exhaust fan amp draw has climbed from 11.2 to 13.8 amps across three visits against a 14.0 nameplate rating, that bake recovery time has stretched from 9 minutes to 14, and that the technician found a hairline crack in the fan wheel weld. That report tells you your fan is going to fail, roughly when, and gives you the option of replacing it on a Saturday instead of on a Thursday afternoon with a car in the booth.

The condition report is the actual deliverable of a maintenance program. The filters are just consumables. Here is how to read one.

Section 1: Measured readings and where they sit

Every meaningful report opens with numbers, each compared against a spec — not just recorded in isolation. Expect to see:

  • Differential pressure across intake and exhaust filter banks, with clean and change-out set points listed for comparison
  • Cabin pressure balance — positive or negative, and by how much
  • Airflow velocity in the spray area against design specification
  • Motor amp draw for supply and exhaust fans against nameplate full-load amps
  • Bake temperature at the vehicle from a calibrated probe, compared against the control setpoint, plus heat-up and recovery times
  • Gas pressure at the burner train, where applicable

The single most useful feature of a good report is that it shows the last two or three visits alongside the current one. A number in isolation tells you compliance. A number in a trend tells you a story.

Section 2: Reading the trends

This is where the report earns its keep. Some patterns and what they mean:

Amp draw climbing toward nameplate

The motor is working harder than it used to. Causes include overspray buildup on the fan wheel, bearing drag, or the system fighting higher static pressure. Left alone, this ends in a tripped overload or a burned motor. A motor consistently running near or above full-load amps is on borrowed time.

Clean-filter differential pressure creeping up over time

If the reading with brand-new filters is higher this visit than last, the restriction is not in the filters. Look at ductwork, plenum accumulation, or a damper that isn't opening fully. This is often the earliest indicator that the booth needs a cleanout rather than a filter change.

Cabin pressure drifting negative

The booth is pulling more air out than it brings in, which means unfiltered shop air is entering through door gaps, seams, and seals. This is the number one cause of persistent dirt in the finish. It shows up as a pressure reading long before anyone connects it to the rework rate.

Bake recovery time stretching

Longer recovery means either the burner isn't producing what it should or the booth isn't holding heat. Either way it costs you fuel per cycle and cycles per day. A bake that has drifted from 30 to 45 minutes reduces your booth capacity by a third — a capacity loss no one budgeted for and nobody sees on a report unless someone is timing it.

Filter change intervals shortening

If exhaust arrestors are loading faster than they used to at the same production volume, either transfer efficiency has dropped or airflow has changed. Both are worth chasing before they cost you finish quality.

Section 3: Findings, with severity

A good report separates observations into tiers, because not everything found needs to be fixed today. Typically:

  • Corrected during this visit — belt tensioned, bearings greased, flame sensor cleaned, filters replaced, damper linkage adjusted
  • Needs attention now — safety, code, or imminent-failure items. Cracked fan wheel, failed interlock, uncovered sprinkler heads, heavy duct accumulation.
  • Monitor / plan for — components measurably degrading but still functional. Belt with early cracking, motor amp trend rising, light fixtures at end of expected life, seals hardening.
  • Recommended improvements — not failures, but changes that pay back. This is usually where a technician flags things like an LED lighting upgrade or a control upgrade with a real return.

Anything in the second and third tiers should carry an estimated cost and a rough timeline. Without those, the report is an observation list, not a planning document.

Section 4: The photo record

Photos matter more than most shop owners expect. Nobody climbs into their own plenum or looks inside their own exhaust duct. A photo of overspray accumulation in the duct, a corroded fan housing, or a ceiling filter that has pulled away from its frame does two things: it makes the recommendation credible instead of a sales pitch, and it gives you a baseline to compare against at the next visit.

Photos are also the evidence you want on file if a claim, an inspection, or a warranty question ever comes up.

How to actually use the report

Three practical habits turn the document into money saved:

  • Keep them together, in order. A folder of consecutive reports is a maintenance history. Individually, each is a snapshot; in sequence, they show which components are degrading and how fast.
  • Move "monitor" items into next year's budget. A motor flagged as trending should appear in your capital plan, not surprise you as an emergency. This is the mechanism that separates preventive spending from break-fix spending.
  • Cross-check against your rework log. If dirt complaints spiked in the same month cabin pressure went negative, you have your cause. Painters get blamed for a great many equipment problems.

What to ask for if you're not getting one

If your current service provider leaves a line-item invoice and nothing else, ask for the readings. Specifically: differential pressure, cabin pressure, fan amp draw, airflow velocity, and measured bake temperature and recovery time, compared against spec, at every visit. Any technician doing the inspection properly is taking those readings anyway. Getting them in writing costs nothing and changes what you can do with the information.

The report is also what makes your service history defensible — to an insurance carrier, to an inspector, and to a buyer if you ever sell the business. Equipment with a documented maintenance history is worth more than equipment with a drawer full of receipts.
